What to Look for in a Commercial Painting Quote

A commercial painting quote needs to describe both the finish and how the work fits your property. Offices, retail units and managed buildings have different access and occupancy constraints. A clear scope lets you compare proposals and identify gaps before the project starts.

Identify the surfaces and their condition

List the rooms or zones and separate walls, ceilings, doors, frames, trim and other substrates. Identify surfaces that remain untouched. Record existing defects, repairs and areas requiring more preparation so they are visible to everyone pricing the same work.

Sherwin-Williams' surface-preparation guidance emphasises choosing preparation for the substrate and existing conditions. A specification for sound painted drywall is different from one for damaged joints, contaminated surfaces or a different material. Ask how the proposed preparation addresses the actual building.

Name the coating system

A coating schedule should identify the primer and finish products, colours, sheen and application requirements for the relevant surfaces. Sherwin-Williams provides commercial finishing schedules as a specification resource. Use product-specific guidance to inform the system rather than treating one paint as suitable for every substrate.

Discuss cleaning, traffic, lighting and maintenance needs. If a particular finish or client specification is required, provide it with the enquiry and ask the contractor to identify any assumptions or exceptions before pricing.

Put occupied-building constraints in writing

Tell the contractor which areas must remain usable, what access restrictions apply and who can approve room closures. Discuss furniture, equipment, tenant notices, work routes and protection responsibilities. A phased plan may be useful, but its practicality must be assessed for the property.

If work outside business hours is required, ask whether it is available and how it affects the scope. Do not assume that the words commercial painting include evenings, weekends or uninterrupted operation. Product application and return-to-use instructions also need to fit the schedule.

Make exclusions and changes easy to understand

Separate coating work from repairs, water-entry issues, substantial drywall replacement and other trades. Clarify access equipment, permits or building-management conditions that need coordination. Ask for any qualifications to the price and a process for approving additional work before it begins.

For tendered work, identify the drawings, finish schedule and revision used for the quote. Compare alternatives against the same documents. Confirm which costs and applicable tax are included rather than comparing totals that reflect different assumptions.

Agree on review and handover

Identify who will review the finish and how outstanding items will be recorded. Ask for colour and product information for future maintenance, relevant care instructions and any written warranty terms actually offered. A verbal assurance is less useful than a clear record of the accepted scope.

  • Included zones, surfaces and preparation requirements.
  • Coating products, colours, sheen and application scope.
  • Access, occupancy, protection and agreed work sequence.
  • Exclusions, pricing assumptions and written change approvals.
  • Cleanup, final review, maintenance records and offered warranty terms.

Send the information that makes a proposal useful

Include your location, property type, surfaces, operational restrictions and preferred timeframe. Provide drawings or a finish schedule if available through an agreed communication channel. Describe whether the project is an occupied repaint, rental turnover or new fit-out.

BYOUT PAINTING's commercial enquiry can start with those details. Access, preparation, product selection and scheduling arrangements are assessed for the project and confirmed in the scope.
